The Challenge
Prenuvo offers full-body MRI scanning as a preventative health service — a premium, high-intent offering where trust and clarity in the booking experience directly affect whether prospective patients follow through. Their existing booking flow was generic, slow, and didn't adequately communicate the clinical value of the scans. Patients were abandoning before completing intake forms and payment, and staff were manually following up to recover incomplete bookings. The portal also lacked proper integration with their appointment scheduling system, causing calendar conflicts and double bookings.
Our Solution
We designed and built a custom booking portal that guides prospective patients through scan selection, eligibility screening, appointment scheduling, and payment in a structured multi-step flow. Each step is informed by the clinical intake information Prenuvo needs: age, medical history flags, and body region selection for optional add-on scans. Scheduling connects to Prenuvo's clinic calendar system in real time to show accurate availability. Stripe handles deposit and full payment collection, with Affirm offered at checkout for patients preferring to finance the scan. An automated confirmation and preparation guide is emailed immediately post-booking.
Our Approach
Intake & Eligibility Flow Design
Worked with Prenuvo's clinical team to map the information needed before a patient can be confirmed for a scan (contraindications, pregnancy status, medical device history). Built a branching intake questionnaire that surfaces relevant screening questions without overwhelming patients, with automatic disqualification logic for clinical contraindications.
Real-Time Scheduling Integration
Integrated with Prenuvo's clinic scheduling system via API to pull live slot availability by location and scan type. Built a calendar selector that only surfaces available slots, handles timezone conversion for patients booking across US time zones, and holds a slot for 15 minutes during checkout to prevent double booking.
Payment & Financing Integration
Implemented Stripe for secure card processing with deposit and full-pay options. Integrated Affirm's SDK to offer financing at checkout for patients who wanted to split the cost. Built a payment retry flow for failed transactions with clear error messaging rather than generic decline notices.
Post-Booking Automation
Built an automated email sequence triggering on booking confirmation: immediate booking confirmation with scan preparation instructions, a 72-hour reminder with fasting and clothing guidance, and a day-before reminder with clinic directions. Reduced staff manual follow-up and significantly lowered no-show rates.
