The Challenge

A financial institution's collections operations were entirely paper-driven. Field agents visited borrowers with printed lists, recorded payment commitments in notebooks, and reported back at end of day. Supervisors had no live visibility into which accounts were contacted, what amounts were committed, or where agents were during the workday. Cash collected in the field was reconciled manually — a slow and error-prone process that created revenue recognition delays and compliance exposure. Digitizing this process had to work on low-end Android devices, often in areas with patchy connectivity.

Our Solution

We built a two-part system: a mobile app for field agents and a supervisor dashboard for operations management. Agents get their daily visit list with borrower details, outstanding amounts, and contact history pre-loaded on the app. At each visit they record the outcome — payment collected, promise to pay with date, no contact, dispute raised — attach a digital receipt for cash payments, and capture a photo of any collected checks. The supervisor dashboard shows a live map of field activity, payment commitments logged for the day, and a reconciliation report updated in real time. All collected cash is tracked from agent to deposit with a digital chain of custody.

Our Approach

Offline-Ready Mobile App

Built the Android agent app with full offline support using SQLite. The daily visit assignments, borrower data, and contact history sync to the device at shift start. Agents can record all visit outcomes and collect payments offline, with data syncing whenever connectivity is available. Tested on entry-level Redmi and Samsung A-series devices to ensure smooth performance.

Digital Receipt & Payment Capture

Implemented a digital receipt generation workflow for cash collections where agents enter the amount received, add a photo of any physical receipts or documents, and the system generates a timestamped digital receipt sent to the borrower via SMS. Cheque collections capture cheque details and a photo of the instrument for compliance records.

Supervisor Dashboard & Route Visibility

Built a web dashboard that shows field agent locations via GPS pings from the mobile app, overlaid on an area map with their assigned visit locations. Supervisors can see in real time which accounts have been visited, what outcomes were logged, and which agents are running behind their planned route.

Reconciliation & Compliance Reporting

Built an end-of-day reconciliation module that matches each agent's collected amounts against logged payment records, flagging discrepancies automatically. Produced a daily settlement report in the format required by the bank's internal controls team. Built an audit log covering all data access, edits, and payment status changes for regulatory compliance.
