Custom application modernizing the leasing lifecycle, improving operational efficiency, and centralizing property management for landlords and tenants.
The Challenge
Fyxt was working to rebuild commercial real estate leasing operations from the ground up. Property managers were split across disconnected tools — one system for leases, another for work orders, a third for tenant communication — with no single source of truth for a property's status. Tenants had no self-service access and raised maintenance requests through email or phone. Landlords had limited visibility into portfolio performance. The goal was a unified SaaS platform that could handle the full leasing lifecycle while remaining flexible enough for properties ranging from single-tenant industrial buildings to multi-tenant commercial campuses.
Our Solution
We built Fyxt as a multi-tenant SaaS platform covering lease management, work order tracking, vendor coordination, tenant communication, and portfolio analytics. Leases are modeled with full term structures including rent escalations, CAM reconciliation, and option clauses. Tenants access a self-service portal to submit maintenance requests, review lease documents, and track work order status. Property managers have a unified inbox, automated lease expiry alerts, and a maintenance dispatch module that routes work orders to preferred vendors. A portfolio dashboard gives landlords a cross-property view of occupancy, outstanding work orders, and upcoming lease events.
Our Approach
Domain Modeling & Architecture
Spent the first month doing deep discovery with commercial property managers to understand the actual complexity of CRE lease structures. Modeled entities covering properties, units, leases, tenants, vendors, work orders, and financial summaries. Chose a multi-tenant PostgreSQL architecture with row-level security to isolate customer data cleanly.
Lease Management Engine
Built a lease lifecycle engine that handles complex rent schedules with step-up clauses, CPI-based escalations, and CAM charge pass-throughs. Lease entries generate automatic calendar events for renewals, inspections, and option deadlines. Document storage links executed leases and amendments to the relevant lease record.
Work Order & Vendor Dispatch
Implemented a work order system where tenant requests flow through a triage queue, are categorized by trade type, and dispatched to assigned vendors via email and SMS. Vendors update status through a lightweight web form without needing a full account. Property managers get real-time status and can escalate overdue orders.
Tenant Portal & Analytics
Built a branded tenant portal covering document access, maintenance request submission, and billing history. On the landlord side, delivered a portfolio dashboard with occupancy trends, expiring lease alerts, and work order resolution time metrics. Reports can be exported to PDF for investor presentations.
